Minutes of the Meeting –
 
Principal Ms. Shilpa Solanki welcomed everyone on behalf of the PTA team and ran through the agenda of the GBM.
Election process was explained and a brief summary of PTA guideline according to the State Government GR were reiterated.
 
The following will be members of the PTA committee -
 
Parent members - One parent representative per section of Classes (I to IX)
Class teacher of Classes ( I to IX) are members, too
Unit Heads of Primary, Secondary and Admin
Principal – ex- officio member
Director – ex- officio member
 
It was also discussed that at the next PTA executive meeting the following two points will deliberated -
Need, continuity and role of the Lead PTA members  
Working sub – committee
 
This was followed by self - introduction by all members present.
 
Ms. Harini Bavani, representative of the PTA committee 2010 -11 shared highlights from their last year’s experience, on behalf of the team. She introduced the outgoing PTA members. She expressed her pleasure as a PTA representative and appreciated the schools effort in offering all support to the team and the parent body at large.
She also stressed that the PTA and school are a team that works together for their children.
 
She shared the contribution and participation of the PTA committee last year –
Staff Orientation
Medical check - up drive for students
Student School Council Selection
Staff Recruitment Interview Panel
Quality Measures workshop – for School program and Discipline
 Meeting with Board Representatives regarding  Fee structures for year 11-12 and 12-13
PTA was taken through all documents submitted to CBSE inspection team.
Meeting CBSE chairman during a FAQ meet organized by Sahodaya , Pune chapter.
Meeting DDE regarding fee fixation and fee prastaav exercise before and after TOS submitted the documents to DDE office.
 
PTA committee members were also invited to participate in the annual strategic retreat to get a peek into planning for the year. However, none of them were able to attend the same.
It was also mentioned that the PTA was given a presentation of last year audited TOS balance sheet, expenditure and current year budget projection.
 
Election Process -
 
Election for this year’s executive committee was done through self – nominations. In a case, where there was more than one parent nomination for same division, a lottery was drawn.
 
Since the attendance was thin, the GBM did not have representation for every division. Some members present gave their consent to be part of PTA committee, while others declined. 
A collective resolution was passed in a case, where few of the current  PTA committee members will continue tenure for another year, due to lack of representation at that class level.
It was also collectively decided that both parents ( husband –wife)   meaning to represent different levels if they have 2 children, should not be in the same PTA committee.
 
It was ensured that there is equal representation of women and men.

Letter sent to DDE office for PTA formation 2011-12

Ms. Yogita Rajukar for Std VIII Garnet and Ms Varsha Khandait for Std IX Ruby will be the backup parent.
 
Ms. Lakshmi  wondered ,  if for  divisions that did not have any representation, should  there be any call in order to fulfill the GR guideline. However, the group unanimously decided that they will continue with the members elected at the GBM and not call for parents on another date. This is so in order not to undermine this process as parents were well informed before time via circular and bulk sms reminder.

 Closure -
 Vote of thanks followed by announcement of next meeting for PTA committee which will be held on 22nd July, 2011 at 6 pm. This will be a combined handing – over meeting for the outgoing PTA committee and the new elected committee.
