Minutes of the PTA AGM    
10th July 2010

For convenience sake, the AGM was planned and conducted in two sessions. The first one for
Primary from 4-5 pm and the second session for class 5-8 from 5.30 to 6.30 pm. 
Since the agenda was common, the minutes are compiled and made into one so everyone is in the
picture.

Date of meeting: 3rd July. 
Members Present: 
No of parents present – Primary – 34; Middle – 18. This includes few previous PTA members as
well.

School management was represented by –B.K.Shinde, ms. Lakshmi kumar, ms. Jainta batra,
ms.Shilpa Solanki , Ms.Mareeta Cleetus, Ms.Seema Shadbar, and other Core committee members
and teacher volunteers.
 
Venue: The auditorium.

Minutes: 
TOS Director Ms.Lakshmi Kumar welcomed everyone on behalf of the TOS team and ran through
the agenda for the AGM.

Sharing from the TOS -
•  Update  about the status of the CBSE affiliation of the school ;  the CBSE inspection
any time in August/September 2010.  
•  State  GR regarding the language policy. Marathi to be introduced from Class I
instead of Class II and it will remain a compulsory subject up to Class VIII. Clearing
Marathi exam in the Class VIII is a pre-requisite for promotion to Class IX. 
•  Fees announced in April 2009 was reiterated. Prastaav is with DDE. Since March 4th
 
GR is withdrawn, the school has to await further communication regarding fee matters,
which is expected on July 15th

•  Balewadi stadium to be hired  on two days instead of one, taking into consideration
the current requirement.
•  Further the PTA executive committee members of 2009-2010 were invited to share                            
their insights from the last year’s experience.

Sharing from the PTA 2009- 2010 -
•  Mr. Ramesh addressed the parent community on behalf of the PTA executive
committee.
•  He stated that the PTA is more consolidated in one year. A constitution has been
formulated after a year’s experience. The constitution was a product of series of
deliberations and discussions, keeping GR recommendations in mind.  The constitution
gives a framework of the structure, code of conduct, role and responsibilities; eligibility for
the formal functioning of the PTA committee. This has been uploaded on the school
website for all to view. 
•  He further announced that three PTA members resigned during the course of the year
for which three new members elected.
•  PTA body is a recommendatory and advisory body. The final decision lies with the
School Management. This was highlighted by Ms. Kumar. 
•  He threw open the concept of Lead PTA members where in two members of the old
PTA will continue to be a part of the new PTA committee. Hence comprising of 10 parent
representatives.
•  If any member of the PTA executive committee resigns from the committee there
should be a backup to fill in the empty place.
•  All the volunteers from the parent community will be as stand by.
•  During the sharing, parents had a few queries and objections. The ideal number of
parent representatives for the PTA executive committee was debated extensively and
finally a reasonable number arrived at. The parents felt that the proposed number of 1
parent per level plus two PTA parents from previous year was not adequate and that more
parents needed to get on to the PTA. To this end, nominations were solicited and two
parents per level were selected and recorded.
•  The core committee will take up the suggestion for the higher number of PTA parent
representation for further deliberation and review and a final decision on the number will
be taken in the next meeting.
•  PTA  link  on the School website and  regular updates communicated via website and
important information via circular. 
Some of the Roles and responsibilities of PTA  - 
Communication between there school and the larger parent community.
To help the school in various school events.
Active participation in the school activities.
Sharing ideas with the school.
Suggestions to put forth if needed.

Election Process -   
Election for this year’s executive committee was done through lottery system. A parent had to
volunteer to be part of the committee and if there were more than two nominees, then a lottery is to
be drawn.

•  The ratio of fathers and mothers should be 50% -50%.
•  Two lead members from the old PTA, Mr Ramesh Iyer & Mrs Harini Bhavani.
School representatives chosen in capacity of their designation and nomination. The school
members are -

At this moment Ms Lakshmi Kumar also shared about the protest and representation  from 
politicians which took place on 2nd July 2010 by  a Political party. There was an appeal from her
saying not to involve the political elements . This jeopardizes the functioning  and spirit of the
school and places children’s’ safety at risk.

She warned that if any PTA members are found indulging in activities like this that are against the
schools’ interest or hurts the school in any way, the member will be dealt with severe consequences 
to the extent of losing the membership to the school.

Closure -
PTA members of the primary and the middle school will be called for an orientation meeting. Date
and the day will be informed soon..
Mr Ramesh gave the vote of thanks and appreciated the co-operation The PTA committee members
2009- 2010 and the same expecting from the new.
