ISO 9001:2008, Quality management systems

 The Organization decided to go in for ISO 9001-2008 Certification in December 2008. Mr Shanmukh Chetti  from Spectrum Quality Management was appointed as the Consultant for the same.

On 24th December 2008 , he made a presentation to the Core-committee which was also attended by the Board Members, Mr. Amar Jadhav and Mr. B.K. Shinde. A MR and the core committee were nominated at this meeting.

• A contract was signed and the initial payment made and also the Management Representative’s papers were send  for registration.
• An ISO awareness Training Program was conducted on 1.2. 2009. This was attended by all the Departmental Heads.
• On 12. 2. 2009 a gap analysis was done of all the departments and Format numbers and structure was finalized for Document control.
• Mr. Shanmukh began his weekly visits every Thursday , and worked with the various departmental heads to compile various data like record maintenance, formats, roles and responsibilities , flowcharts depicting the departmental procedures and also detailed documentation of the same.

Some of the recommendations given by Mr. Shanmukh have been implemented:

1. Graphical layout of Network and Fire Safety has been implemented and displayed in the Technical Centre , the network switch racks , the fire safety drawings will be displayed outside the lift on each floor. 
2. Visitor slip has been introduced at the Security gate, which states details like name, belongings, person he/she has come to visit etc. The visitor has to get it signed by the person he/she has visited before leaving the premises.

• After successfully completing the documentation and for all processes and procedures, the Certification process began.
• BSI – British Standard Institute was finalized as the Certification Body .
• The next step was the Internal Audit Training which was conducted on 28th and 29th of December 2009 by Mr. Prashant J. Mangaloremath Lead Auditor QMS & ConsultantVantage Business Services.
• This was attended by the MR – Baishaki Bapat and the Core team i.e. Ms Gauri Gokhale- Deputy MR, Mr. Mangesh C – Co-ordinator and the other team members, Mr Matin S, Mr. Walunj, Ms. Jainita B and Ms. Seema S. An examination was also conducted , and the successful candidates will receive a certificate for the same.
• The Initial Assessment Stage II Audit was successfully completed on 24th March 2010.
• The Audit team was lead by Major B.V. Naik. The two other auditors were Dr. Anita Joshi and Mrs Nandini Khot. .
• As there was no major deviation in process and procedures, the Orchid School got the ISO 9001:2008 Certification within 3-4 weeks.
• The certificate was presented to Management Representative Baishaki Bapat by Mr. Shanmukh Chetti on the Annual Day, 10th April 2010.
• The surveillance audit was conducted on 8th March 2011 by Major B.V. Naik and Mr. Datta Rahane.
• No major deviations were found and the certification continues.
• Regular internal audits are being conducted by a team of trained internal auditors from the School to ensure the smooth flow of processes and procedures and necessary corrective measures are taken in event of any deviation.
• The second surveillance audit was conducted on 18th February 2012 by Major B.V. Naik and Mr. Digambar Mahajan.
• No major deviations were found and the certification continues.
• Internal audits will continue for the smooth flow of processes and procedures.
